Every load a dispatcher books passes through the same six stages. Follow one illustrative load from Dallas to Atlanta: scroll through the stages, or select any stage to see what happens at the desk and why it matters.
Stage 1 of 6 · Related module: Truck Dispatching
Review the load opportunity
The dispatcher starts with the truck: where it is, what trailer it pulls and when the driver is free. Then they search load boards for freight that fits.
What the dispatcher does
Check the truck's location, trailer type and available date
Search load boards for freight near the truck
Shortlist the loads that match the equipment and timing
Why it matters
An empty truck earns nothing, but the wrong load can cost more than waiting. Matching the load to the truck and driver first saves time on every call that follows.

Stage 2 of 6 · Related modules: Truck Dispatching, Safety & Compliance
Evaluate the rate and route
Before calling anyone, the dispatcher works out whether the load is worth taking: the rate per mile, the empty miles to reach pickup, the driver's available hours and the delivery window.
What the dispatcher does
Work out the rate per mile, including empty miles
Check the driver's available hours against the time windows
Think about where the truck ends up for its next load
Why it matters
A high rate can hide a poor load. If the route does not fit the driving-hour rules, or leaves the truck far from its next freight, the carrier loses time and money.

Stage 3 of 6 · Related modules: Truck Dispatching, Freight Brokerage
Communicate with the broker
The dispatcher calls or emails the broker who posted the load, confirms the details and negotiates the rate. Clear, polite and professional English is a large part of the job.
What the dispatcher does
Call with the load reference and truck details ready
Counter the rate with reasons, not just a number
Agree extras, such as detention pay, before booking
Why it matters
Brokers work with many carriers. A dispatcher who communicates clearly and keeps their word is easier to trust, and that trust shapes every future booking.

Stage 4 of 6 · Related modules: Freight Brokerage, Billing & Invoicing
Confirm the load and documentation
Once the rate is agreed, the broker sends a rate confirmation. The dispatcher reads it line by line, checks it matches the call, then sends the pickup details to the driver.
What the dispatcher does
Read the rate confirmation line by line
Match the rate, times and references to what was agreed
Send pickup details and reference numbers to the driver
Why it matters
The rate confirmation is the written agreement. A mistake here, such as a wrong rate or missing detention terms, is hard to fix once the truck is moving.

Stage 5 of 6 · Related module: Truck Dispatching
Coordinate pickup and delivery
While the truck is on the road, the dispatcher tracks its progress, records check-ins at pickup and delivery, and keeps the broker and driver updated.
What the dispatcher does
Track check-ins at pickup and delivery
Send status updates on time
Spot delays early and tell everyone involved
Why it matters
Brokers expect to hear from the dispatcher before they have to ask. An early warning about a delay protects the carrier's reputation far better than an excuse afterwards.
✦ Practical training focus

Stage 6 of 6 · Related module: Billing & Invoicing
Follow up and complete the workflow
After delivery, the dispatcher collects the signed proof of delivery, sends the invoice with the right documents attached, and follows up until the carrier is paid.
What the dispatcher does
Collect the signed proof of delivery (POD)
Invoice with the rate confirmation, bill of lading and POD attached
Follow up payment and note what was learned on the lane
Why it matters
A load is only finished when the carrier is paid. Missing or incorrect paperwork can delay that payment, so the last step deserves the same care as the first.

One course · four modules included
Complete Truck Dispatch & Logistics Training Program
These four modules are parts of one course, not separate courses or plans. Every student learns all four, online or in Patran.
Module 1 of 4
Truck Dispatching
The core of the job. You learn how dispatchers keep a carrier's trucks loaded and moving, from searching for freight to the last status update.
Dispatcher's responsibility: the driver's time, the carrier's revenue and the broker's trust all depend on the loads you choose and how you communicate.
Topic examplesConfirm with academy
Dispatching workflow and daily operations
Load searching and load booking
Communication with brokers and drivers
Rate negotiation and dispatch coordination
Module 2 of 4
Freight Brokerage
The other side of the call. How brokers connect shippers with carriers, and how a load is quoted, covered and tracked from the broker's desk.
Why it matters: understanding the broker's position makes you a sharper negotiator and opens brokerage roles as well as dispatch.
Topic examplesConfirm with academy
Freight brokerage fundamentals
Broker and carrier coordination
Load management and related workflows
Module 3 of 4
Billing & Invoicing
The paperwork that gets carriers paid, from the rate confirmation to the final invoice and payment follow-up.
Why it matters: a delivered load with missing documents is an unpaid load. Accurate paperwork protects the carrier's cash flow.

Rate confirmations and related documents
Payment and invoice tracking
Module 4 of 4
Safety & Compliance
The rules every load runs under, so you can spot a problem before it costs a carrier time, money or its safety record.

A truck dispatcher finds freight for carriers and keeps their trucks moving. The work includes searching load boards, negotiating rates with brokers, booking loads, planning routes and staying in touch with drivers until each delivery is complete. Dispatch work for US and Canadian carriers is done from a desk, using phone, email and software. The dispatch walkthrough shows one example load from start to finish, and our guide What is US truck dispatching? explains the role in more detail.
